Support Services Coordinator

Job Purpose:

To develop and assist in the international provision of a digital professional support and information service to people affected by encephalitis, their families and the professionals that may be supporting them.

The person appointed must be sensitive to the personal nature of information relating to individual members that will be available to him/her and be both willing and able to maintain strict confidentiality in this area.  All contacts must be dealt with in a sensitive and professional manner.


The Encephalitis Resource Centre, 32 Castlegate, Malton, YO17 7DT. Some travel may be required with this post. The postholder will be required to be flexible in relation to hours and willing to be involved in the ‘life’ of The Society including fundraising events.

22.5 to 30 Hours – Flexible Working Pattern – Remote Working available.

Key Objectives and Specific Areas of responsibility:


  • To provide the Society’s frontline support in respect of advice and information (by phone, letter, skype, email or personally) to people affected by encephalitis, their families and carers and professionals that may be supporting them.
  • Developing digital solutions to provide information and support internationally.
  • To operate the global Connections Scheme, linking people with similar needs around the world.
  • To liaise with organisations providing a service to people affected by other neurological conditions.
  • To work with other members of staff to ensure the service reaches all hard to reach communities groups.


  • As directed, to coordinate activities and ideas that raises awareness of encephalitis and participate in World Encephalitis Day – 22nd February.
  • To organise and attend exhibitions and conferences as directed with the aim or raising awareness of the Society, the condition and to make links with relevant professionals.
  • Keep up to date and informed on all research and developments on encephalitis and within healthcare systems.

Other Duties

  • You must be able to prioritise & manage your own workload effectively. 
  • Work with staff to plan, co-ordinate and attend meetings for people affected by Encephalitis.
  • Work with staff to plan and co-ordinate seminars, conferences, training sessions for professionals.
  • To conform to health and safety legal requirements and to report dangerous incidents or accidents or potential hazards to line management.
  • To carry out any other duties associated with the responsibilities of this post.
  • To ensure the professional development of oneself through appropriate training
  • To undergo necessary training in order to fulfil the requirements of their job. 
  • The post holder will be expected to undertake other tasks that may reasonably be required.

The postholder must maintain the confidentiality of information about people contacting The Society, staff and other Encephalitis Society business.  The work is of a confidential nature and information gained must not be communicated to other persons except in the recognised course of duty. 

Health & Safety

Employees must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974) to ensure that the agreed procedures are carried out to maintain a safe environment for visitors, volunteers and staff. The Encephalitis Society operates a non-smoking office and no facilities are provided for smoking.
